A key member of the Albireo Energy team, the Administrative Assistant will report to the General Manager in our Chelmsford, MA location.
Administrative assistant responsibilities:
- Schedule and facilitate on-site and remote meetings e.g., Webex and Microsoft Teams.
- Organize and coordinate logistics of all-hands meetings and team building events.
- Notetaking for internal meetings and ordering of lunch as needed.
- Order office and breakroom supplies and restocking.
- Manage calendars and coordination of meetings effectively via Outlook, communicating changes promptly and working with other key partners requesting time with employees and/or clients.
- Complete other administrative and project duties as assigned.
- Proficient in MS Office, including Outlook, Word, Excel, and PowerPoint.
- Maintain spreadsheets and develop tracking systems to support Project and Operations Managers.
- Utilize various systems for data entry and exporting documents to be delivered to clients.
- Assist team with verification of materials receipt and update logs and systems.
Requirements
- 3-5 years as an administrative assistant.
- Experience working in a dynamic office setting.
- Superb written and verbal communication skills.
- Previous success at building strong organizational relationships and fostering teamwork.
- Excellent problem-solving, decision-making, initiative, and independent follow-up.
- Ability to multitask in a fast-changing environment.
- Proactive with the ability to anticipate needs.
- Ability to be detail-oriented, fast, and complete in delivering results.
- Proven ability to handle confidential information with discretion.
