Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.
Planned Parenthood seeks a Specialist-Gift Planning, reporting to the Vice President for Gift Planning in the Development Division of PPFA. This individual will be part of an accomplished, national team charged with increasing and retaining planned gift commitments for PPFA, PPAF, and the organization’s Collaborative Fundraising Program. The Gift Planning team expands philanthropic revenue for Planned Parenthood by working with donors and their advisors on estate planning, life income giftsincluding charitable gift annuities, charitable trusts, and a pooled income fundand special ways of givingincluding beneficiary designations, IRA giving, and endowments.Purpose:The purpose of the Specialist-Gift Planning role is to ensure the compilation of timely and accurate information on the overall revenue and expenses of the department, as well as the overall progress of the entire team toward key performance indicators, financial/program goals, and other administrative requirements.
Delivery Manages and/or assists with a variety of administrative functions in the Office of Gift Planning to be assigned over the course of the year, including:Serves as departmental lead for the PPFA contract system and tracks the contract process. Working with members of the Marketing and Gifts amp; Systems teams ensures the renewal of master service agreements on schedule and makes sure that statements of work are in place for all projects. Works with team members on the timely receipt of bills and processing of pay orders.Runs weekly departmental reports, circulates, and saves to the drive. Builds expertise in understanding report content for a variety of reconciliations and quality control. Tracks departmental expenditures to support the annual budgeting and reforecasting processes. Reconciles monthly departmental expenses as requested by the Finance and CDO Budget offices. Prevents incorrect coding and submits reclassifications quickly when errors are discovered. Submits accruals according to Finance protocols.Monitors the Visa/Works system, and reviews monthly credit card expense coding and expense reports so expenditures are correctly coded and ready to be approved in advance of the published deadlines.Prepares and distributes monthly departmental dashboard for the Vice President and department, using a variety of existing reports to compile the combined results of the team.Hosts the monthly full team webinars. Maintains records of Gift Planning professional development opportunities and participation. Works with team members to ensure the professional development tracker is up-to-date. Distributes gift planning newsletters electronically and saves to shared folders. Tracks a variety of individual employee requirements and team benchmarks for the Vice President. Follows-up with team members as needed for full and timely completion and participation in an assortment of both required and encouraged tasks throughout the yearincluding Diversity, Equity, and Inclusion trainings, annual attestations, and organizational surveys.
