Job Description

We are in the process of staffing a Virtual Assistant where a client needs someone to handle the following responsibilities. If you are interested, please complete the Virtual Assistant application. Key Requirements

  • Manage and organize the client's inbox, ensuring prompt and professional responses to emails.
  • Utilize email templates to provide efficient and consistent communication.
  • Maintain and update the client's calendar, scheduling appointments, meetings, and events.
  • Coordinate with relevant parties to ensure all appointments and commitments are added to the calendar.
  • Follow up with client or other team members to ensure tasks are completed within specified timelines.
  • Assist with managing the client's personal tasks, such as reminders and personal appointments.
  • Track expenses and taxes using multiple Excel sheets, ensuring accuracy and timely updates.
  • Proficiently navigate various platforms, including email, Google Drive, Excel, WordPress, Apple iOS calendar, Google calendar, FloDesk, and Slack.
  • Utilize strong customer service skills to provide courteous and helpful assistance to internal and external stakeholders.
  • Maintain a high level of organization and attention to detail in all tasks and communications.
  • Display excellent grammar and writing skills in written communications.
  • Demonstrate patience and the ability to send constant reminders when necessary.
  • Previous experience as an executive assistant is a plus.
  • Demonstrated graciousness, kindness, and a positive attitude is a plus.

Requirements

  • Proven experience in administrative or virtual assistant roles is preferred.
  • Proficiency in using email, Google Drive, Excel, WordPress, Apple iOS calendar, Google calendar, FloDesk, and Slack.
  • Excellent organizational skills and the ability to multitask effectively.
  • Strong attention to detail and accuracy in managing calendars, tasks, and expenses.
  • Demonstrated ability to provide outstanding customer service and maintain professionalism in all interactions.
  • Self-motivated and able to work independently in a remote setting.
  • Strong written and verbal communication skills with good grammar.
  • Intuitively organized and able to prioritize tasks efficiently.
  • Availability for approximately 10-12 hours per week.
  • Located in the Pacific or Mountain Time Zone.
  • Comfortable with communication via text, Slack, and phone calls.
