Job Description

The Human Resources Administrator performs a wide variety of functions in the Human Resources department, playing a key role in the effective operations of the department. Administratively supports different areas within the HR departments scope of responsibility training amp; development, performance management, benefits, employee relations, amp; onboarding. This position acts as first point of contact for HR related inquiries from employees and external parties. The ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner. The HR Administrator has authority to take independent action and make decisions, as defined by the Human Resources Manager.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintains and promotes the Brubacher Excavating Inc. core values of safety, integrity, initiative, and teamwork both within the company and in interaction with vendors and other entities.
  • Coordinates the establishment and maintenance of employment files for new employees, current employees and terminated employees in accordance with company, state, and federal policy and employment law compliance requirements.
  • Manages compliance with federal laws and vendor requirements with maintaining DOT driver files and pipeline files.
  • Assists HR Manager/Recruiter with the hiring of new employees; conducts all pre-employment testing, from scheduling appointments through to receipt and communication of results; enters employee information into background check vendor data base; reviews background checks when returned and notifies HR Manager of concerns; monitors results of all drug screen results. May assist HR Manager/Recruiter in reviewing applications.
  • Compiles new hire packets for orientation. Ensures all new hire paperwork is completed timely and accurately, including but not limited to background check release forms, I-9 forms, taxes, etc.
  • Assists in the preparation and disposition of acclimation period and employee performance evaluations. This function includes both office and field employees. Prepare performance management tracking and salary administration reports for management. Notify managers/supervisors in a timely manner when performance reviews for direct reports are due. Provide follow-up performance management tracking and salary administration reports for senior management as necessary.
  • Independently produces a variety of HR reports; may conduct original research; at other times obtains information from company ERP.
  • Works closely with the payroll department in areas related to keeping and maintaining employee records and wage and salary information.
  • Responds to notifications from state agency regarding unemployment claims filed by current and former employees. Represents the company in Unemployment Compensation hearings.
  • The point of contact for outside vendors and resource persons/organizations on matters related to HR, including the ordering of business cards.
  • Coordinator of all acts of kindness and caring on behalf of the Company i.e. gifts for special occasions, cards and/or flowers to employees or family at President’s request.
  • Coordinates the random drug screening process.
  • Completes and processes paperwork for hiring managers/payroll/HR which indicates title changes, promotions, transfers, change in status, and wage increases. Drafts various communications such as welcome announcements.
  • Creates (internal and external) awareness of open positions; manages posting jobs to job boards and social networking sites.
  • Develops and maintains a basic working knowledge of HR laws, regulations and applicable federal, state and local agencies. Attends inside and outside seminars and workshops related to HR matters.
  • Assists in the administrative portion of the termination process.
  • Prepares correspondence, mail and reports using word processing. Receives, and distributes HR-related mail, packages and faxes. Receives HR-related telephone calls and provides answers to inquiries that are within the scope of responsibility.
  • Performs work assigned from other departments as approved by the HR Manager and/or Director.

EDUCATION and/or EXPERIENCE

  • Two to four years of office experience in a human resources environment that provided exposure to a wide variety of Human Resources functions preferred.
  • High school education is required.
