Job Description

This is an exciting time to work for Amarillo College! We are seeking our next Part-Time Enrollment Specialist who will be all-in on our mission and who will serve as the initial contact for all High School Equivalency (HSE)/English as a Second Language (ESL) students in the Career Ready You (CRU) program. The Enrollment Specialist is responsible for disseminating information about the Career Ready You registration process and New Student Orientation (NSO) and is responsible for receiving, retrieving, assembling, and data entry of highly sensitive student documentation. Enrollment Specialist serve as a resource for all CRU staff.

This is a Grant funded position. Continued employment is contingent on grant renewal and funding.

EDUCATION

  • Required: High School Diploma and some college course credits
  • Preferred: Associate’s Degree

EXPERIENCE

  • Required: Data Entry, Spreadsheet Management, Google Suite (Sheets, Docs, Drive) and Microsoft Office (Word, Excel, Outlook)
  • Preferred: FERPA Training (provided), Online assessment training (provided), Colleague (provided), Microsoft Excel, Google Sheet Formulas, Advanced Features and Bilingual/Spanish Speaking.

JOB DUTIES amp; RESPONSIBILITIES

  • Schedule and confirm enrollment assessments/testing and registration/orientation.
  • Serve as the first point of contact for new students.
  • Study and execute grant guidelines to ensure student eligibility and program compliance.
  • Prepare required materials and data for student enrollment appointments.
  • Proctor enrollment assessment sessions as needed.
  • Collect digital student data files for data management.
  • Enter student data into various data management systems.
  • Perform administrative duties such as answer phone calls, maintain voicemail, file data, schedule meetings, etc.
  • Maintain voicemail messages and return student phone calls.

KNOWLEDGE, SKILLS amp; ABILITIES

  • Ability to provide excellent customer service via phone, email and other digital services.
  • Ability to handle personally identifiable information properly and securely.
  • Ability to copy and paste data entry methods.
  • Ability to use various systems synchronously to verify student eligibility.
  • Ability to work independently and as a team.
  • Ability to organize, prioritize, and work with minimal supervision.
  • Multi-Tasking and Time Management skills

Salary: Amarillo College - Salary Schedules (actx.edu), Pay grade 5 (salary is determined by Human Resources based on education, work experience and internal comparisons).

Physical Demands: While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies as needed.

Working Conditions: Must be willing to work a flexible schedule (days, nights, weekends, holidays, and varying events if necessary.)

Work Environment: This position operates in a professional office environment, routinely uses standard office equipment (i.e. computers, phones, copy and fax machines, filing cabinets) and is in a high traffic area with continual interruptions. Software commonly used includes Microsoft Office, Colleague, and various other educational applications. Work may also be performed outside of the office and with little to no supervision.
