Job Summary

This is an opportunity for an early career Financial Grant Coordinator or Associate with 1 year of experience to get ready to step into a lead role in handling the financial operations for a mix of funders from the pre-award stage to the close of the grant, supporting the financial success and compliance of various departments. In this role, the specialist serves as the primary link to creating consistency and continuity in the internal and external financial reporting and revenue recognition requirements and will gradually gain exposure to the financial management of the organization. The ideal candidate is expected to have familiarity and knowledge of bookkeeping skills and experience, willingness to learn in creating report from ERP/ Financial management system to tie grant management work back to organizational accounting processes. Work is under general supervision. The role would become independent over time as the maturity of skills with good potential for career growth.

Requirements

Essential Duties/Responsibilities

Billing and Reporting to Funders

  • Checks bill preparation or drawdowns of expenses for grants/contracts on a monthly basis unless specified otherwise by the funder.
  • Prepares drawdowns of sub-awardee expenses on federal funders.
  • Prepares reports to funders in accordance with funder specifications.
  • Reconciles accounts receivable accounts for grants/contracts.
  • Contacts funders regarding outstanding receivables.

Budgeting, Planning and Analysis

  • Responsible for the preparation of financial, budget variance, and other analysis, and be ready for a narrative discussion of the reports, identifies trends and prioritizes programmatic goals and related costs among others.
  • Works with Program Grant Managers to set up budgets for grant proposals to federal, multilateral, and private funders.
  • Reviews operating status in aligning spending with deliverables, participates in monthly budget management meetings, forecasts revenue, expense, specific project performance, and investigates variances and unusual transactions.
  • Explains and analyzes how variances impact the organizational; and revising grant and department budgets to reflect changes in revenues, activity and/or changes in grant/contract /department budgets.
  • Uploads grant budget into Financial Management System, makes revisions to align with actual award amounts and ensures grant/contract managers submit budget modifications to funders for approval whenever necessary.

Compliance, Administration, and Communication

  • Reviews sub-award agreements and provide feedback on them prior to them being sent to sub-awardees.
  • Prepares checklist of compliance requirements for all funders in assigned areas of the organization and provides training to program and fiscal staff as needed on these requirements.
  • Handles payroll allocation and effort tracking among multiple projects and funding sources; prepares cost allocation calculations; handles the financial grant/contract management, financial reporting, and billing for assigned areas.
  • Provides ongoing feedback, monthly/quarterly updates of financial status to the CFO, grant/contract /department managers; enables the right focus and understanding of financial matters by non-fiscal staffs using layman terms.
  • Prepares General Journal Entries for expense recoding and revenue and Indirect Cost (IDC) recognition; tracks programmatic reporting deadlines and fulfillment thereof.
