Job Description

Mannahouse Music School (MMS) provides music lesson instruction for many instruments and assists students with growth in musical skill and excellence, with a focus of contemporary worship music training.

The MMS Coordinator provides administrative support and communication between families and teachers to facilitate ongoing private and group music lessons. This role represents the Music Department of Portland Bible College and Mannahouse Music, as a training and equipping ministry. Responsibilities include enrollment amp; scheduling, payroll, communications with students, families, instructors, and Mannahouse Human Resources. Also includes organizing and holding semi-annual recitals, marketing, and working with instructors to ensure both teacher and student needs are met.

Requirements

Minimum Associate’s Degree completed or in process of pursuing; 1-2 years prior administrative support experience required; 3-5 years of prior worship/music experience and knowledge required; Must be highly administrative, organized, and detailed; Possesses a love for the church, God’s people, and a desire to see Mannahouse church and Portland Bible College’s vision fulfilled; Desires to equip and train future musicians, vocalists, and worship leaders; Ability to manage multiple ongoing projects, communications, and processes simultaneously; Ability to prioritize, perform under pressure, pay close attention to detail, and follow through on given tasks in a timely manner; Ability to create detailed oral and written communications and campaigns; Familiar with software technologies including: studio management database, cloud based word processing and spreadsheets, task and project management, design software; Ability to work positively with and responds to students, parents, and teachers of all ages; Ability to maintain consistent agreed-upon office hours schedule; Ability to communicate well with MMS Director (PBC Music Department Director) on all administrative tasks, scheduling, customer needs, and event preparations; Ability to use good judgment in non-routine matters; Must be a member in good standing of Mannahouse, including consistent attendance, ministry participation, and tithing.

Responsibilities

  • Promotes to and tracks new prospective students; develops effective marketing campaigns for student enrollment for upcoming terms; creates promotional materials and assets for digital, print, and event marketing opportunities.
  • Manages My Music Staff audio management software, obtains teaching availability of music instructors for each upcoming term; schedules and confirms all lessons for MMS and PBC students; follows MMS communications process and all documentation; provides excellent customer service to students and instructors.
  • Monitors and assesses all studios and instruments under MMS oversight; assists in scheduling tunings and regular maintenance.
  • Accurately tracks and obtains weekly attendance of lessons; submits teacher payroll and handles wage issues; maintains invoicing for students and all account receivables/payables, reviews and maintains budget expectations with MMS Director; handles online and physical payments and related transfers.
  • Plans and administrates bi-annual recitals; resourcing instructors and students with live performance preparation, and direct the event.
  • Communicates with MMS Director on all scheduling, studio needs, student issues; attends weekly staff meeting; reports project and task progress in regular intervals and uses project management tools; monitors and handles all communication from students, parents, and instructors answering inquiries in a timely manners; maintains positive relationship and open communications with all parties; available for occasional urgent message response outside of scheduled shift (i.e. cancellations, instructor sick, etc.).
  • Identifies and provides for instructor studio/teaching needs; coordinates ordering and delivery of materials and books; initiates new instructor recruitment, hiring, and onboarding with assistance from Director.
