Responsibilities
1. The Transportation Coordinator is responsible for following the processes and procedures outlined in the Standard Transport Coordinator flowchart. This involves ensuring that the version being used is current by replacing any old flowcharts with the latest updates. Additionally, the Coordinator must adhere to the process as detailed in the flowcharts without exception. If any items require further clarification or are not understandable, the Coordinator is encouraged to question their supervisor. Finally, any suggested changes must be promptly communicated to the supervisor.
2. The transportation coordinator carefully reviews each incoming request. If there are any requests that they do not feel comfortable assuming full responsibility for, they will forward those to their supervisor. They will also decline any requests for items that are not relevant to their department. Additionally, they are responsible for ensuring that all expenditures fall within the approved spending limits of the requestor. Before proceeding with any transport requests, the transportation coordinator will confirm receipt of the request and collect any missing details.
3. The Transportation coordinator ensures that standard carriers are booked by selecting preferred vendors who can ship via LTL, FTL, air, ocean, or using a cab/courier. They choose vendors located in Nexus who have signed carrier contracts and make sure that carriers provide all necessary logistics and straps for loading. Additionally, they ensure that the BOL and any applicable cross-border paperwork are uploaded in Nexus for Operations to access and issue a confirmation of the order to the carrier.
4. The Transportation coordinator is responsible for ensuring the timely delivery of trucks. This includes tracking all orders to ensure vendors have the correct information for on-time delivery or pick up, procuring goods in a timely fashion to meet delivery deadlines, and providing Operations, carriers, and the PM with all relevant shipping information for booked shipments. The coordinator also tracks delivery dates and holds carriers accountable for meeting delivery commitments, as well as monitoring vendor compliance with shipping guidelines and working to collect reimbursement for any non-compliance occurrences.
5. The Transportation Coordinator is responsible for approving vendor invoices. They are required to field all inquiries and questions from the AP department regarding shipments they have initiated. Additionally, they must resolve any discrepancies and confirm receipt of shipment before approving invoices. It is also their responsibility to ensure that carriers are uploading invoices to the Nexus portal for timely processing of payment.
