The RP team is seeking a Program Assistant to join and support our USAID’s Local, Faith and Transformative Partnerships Hub. The Program Administrative Assistant (PAA) will provide administrative and program support to USAID's Office of American Schools and Hospitals Abroad (ASHA). The PAA will provide support to ASHA leadership and staff and provide office-wide administrative support. Day-to-day work assignments and oversight will be provided by the Team Lead. Skills like critical thinking, attention to detail, teamwork, data manipulation, writing and editing, willingness to learn, and excellent communication will lead to success in this role. Must be able to obtain a facilities access clearance (FAC)
Responsibilities:
1. Assisting AORs and ASHA leadership with meeting scheduling and preparation, communications, reports, and filing.
2. Backstopping and working collaboratively with other Program Administrative Assistants in support of ASHA leadership and Agreement Officer's Representatives (AORs).
3. Assisting ASHA staff with general office support including but not preparing correspondence, presentations, and other ad hoc requests.
4. Assisting with onboarding of new staff of various hiring mechanisms.
5. Coordinating the routing of various documents/memos through the approval chain, following up on pending details, and ensuring deadlines are met.
6. Assisting in maintaining trackers, responding to general questions through ASHA mailboxes and consistently monitoring data quality control.
7. Attending and providing coverage at various USAID meetings and public events, as assigned.
8. Managing calendar invitations, video conference calls/phone bridge lines, agendas, room reservations, logistics, and facilitation and note-taking for various meetings.
9. Researching and obtaining information for routine reports and data requests.
10. Supporting preparation, documentation and tracking of travel details for ASHA personnel.
11. Assisting with listserv creation and management.
