About the Job

  • Support the Founder and CEO as a gatekeeper handling complex calendar management and pAboutrioritizing meetings.
  • Arrange complex domestic and international travel arrangements.
  • Help plan and coordinate events such as parties, and dinners.
  • Research: the ability to be resourceful and track down information/unique items.
  • The mix of work will be approximately 20% Executive Assistant and 80% Personal Assistant but may vary depending on the needs.
  • Provide advance support and/or directly accompany the CEO on travel commitments as needed, including managing travel preparation. (This includes five 1 week trips and one 3 week trip which are required.)
  • Assist the CEO with the planning and execution of personal events.
  • Responsible for proactively recommending changes and improvements to streamline processes and priorities.
  • Prepare materials for meetings and presentations; conduct research, prepare agenda, and when necessary, script meeting minutes.
  • Ad hoc special projects.
  • Off-hour availability via cell.
  • On-Site and Off-Site Personal Assistance and Administration, including but not limited to planning events and running personal errands.
  • Provide real-time travel support to ensure the CEO’s movements are seamless, including coordinating with airport greeters, drivers, hotels, etc.
  • Prioritize and lead multiple projects at a time, keeping diligent track of project timelines and deadlines.
  • Light financial support.
  • Run personal errands and help with any ad hoc projects as needed.
  • Execute special requests and related duties as needed.


Requirements

  • This is a position for someone who thrives in a fast-paced environment and has exceptional organizational skills.
  • At least 6 months of previous administrative, secretarial or personal assistant experience is required.
  • A self-starter who is eager, optimistic, and has a no task too small mindset.
  • Must be able to anticipate and proactively meet the CEO’s administrative and logistical needs throughout his day-to-day commitments, meetings, appearances, and events.
  • Must be forward-thinking and constantly one step ahead.
  • Resourceful, hands-on problem solver and team player with a demonstrated ability to work collaboratively with others, and a calm demeanor in stressful situations.
  • Ability to be available 24/7 including holidays, if needed.
  • Should be able to travel with CEO with minimal notice.
  • Must have a personal vehicle.
  • Good instincts to prioritize the importance of people and activities.
  • Detail-oriented with the ability to work independently to solve problems and anticipate needs.
  • High level of integrity and discretion in handling all confidential information; high emotional and analytical intelligence.
  • Excellent Microsoft Office Suite skills; excellent written and verbal communication skills.
  • Experience streamlining processes and improving efficiencies.
  • Experience running company events.
  • Comfortable working directly with clients and senior internal stakeholders to get things done/action items, and reporting needs.
