Job Description

Primary Responsibilities:

  • Serves as an essential member of the Project Management Office (PMO) team
  • Reviews assigned standard operating procedures (SOP) and policies to gain detailed knowledge to assist Program Manager (PM)
  • Provides recommendations for SOP revisions; participates in the SOP revision process
  • Attends PMO and relevant VIGILINT meetings; prepares and briefs deployment updates as required
  • Coordinates and administers meetings using digital communication platforms/applications
  • Synchronizes all updates to the Program Management Office (PMO) weekly slides received from all key players
  • Provides read-ahead documents to key players and final copy to the PM
  • Conducts routine follow ups to ensure all updates are received 24 hours prior to weekly synchronization meetings
  • Provides support to other members of the PMO team
  • Properly handles and maintains confidential records, including Personal Identifiable Information (PII) and Protected Health Information (PHI)
  • Contributes to VIGILINT mission by accomplishing other duties as required

Administrative Support Officer I Responsibilities:

  • Manages deployment medical readiness program for government and commercial clients
  • Manages deployment rotation schedules for government program personnel
  • Coordinates with medical professionals for medical readiness scheduling
  • Ensures medical readiness compliance with government contract requirements
  • Supports ERP processes for other VIGILINT departments as required
  • Coordinates with Prime contractor and/or government client to process deployment requirements
  • Communicates directly withTravel Coordinator to coordinate travel requirements NLT 45 days from medical personnel deployment
  • Provides deployment expense data for invoicing
  • Assists PMO with administrative and operational after-action reviews

Requirements

  • Must be a US citizen
  • Must possess or be able to obtain a Secret Security Clearance
  • Must possess a minimum of two (2) years of experience in administrative support
  • Must be proficient in Microsoft Office Suite and possess sufficient computer skills to manage electronic files and an electronic record-keeping system
  • Ability to coordinate and administer meetings using digital communication platform applications (e.g., Zoom and Teams)
  • Strong written and oral presentation skills
  • Excellent interpersonal and communication skills
  • Excellent organization skills including attention to detail and multi-tasking skills
  • Proven ability to work both collaboratively and independently
  • Strong initiative, resourcefulness, and problem-solving aptitude
  • Ability to work under pressure and meet tight deadlines
  • Flexibility to work extended hours when operational tempo requires
  • Responsible for thoughtful adherence to all VIGILINT Policies, Procedures, and Compliance regulations (internal and external)
  • Desired Qualifications:
    • Bachelor's Degree
    • Deltek Costpoint and Salesforce Experience
    • Military and/or Government contracting Experience
