The Project Coordinator is responsible for the full life cycle of our projects, which includes CRM database entries, project set ups, monthly customer billing invoices, document file management, project financial reporting and other administrative duties.
Essential Duties and Responsibilities
Responsible for CRM data entry including contacts, firms and activities, ensuring that our business development efforts and client relationships are being tracked.
Sets up and maintains project records in Deltek Vantagepoint, from pursuit stages through project close out.
Sets up and maintains project specific network and Outlook folders.
Prepares monthly customer billing invoices and assembling client project status reports, pay applications, and lien waivers as needed.
Support Project Managers with monthly percent complete input and updates to ensure timeliness, then review to ensure accuracy.
Supports Project Managers with quarterly Forecasting input and updates to ensure timeliness, then review to ensure accuracy.
Provides and helps to review project reports to ensure the team stays on time and on budget.
Record daily bank deposits in our accounting system.
Performs project closeout process on each completed job
Serves as a Deltek Vantagepoint, Elevia ForecastEdge, and Elevia Electronic Invoicing resource for Project Managers and staff on their team.
May perform other duties as requested, directed, or assigned.
The estimated starting base salary for this role is $55,000-$60,000.
Supervisory Responsibilities: None.

Requirements
Education: Associate’s or Bachelor’s degree in Business Administration, Accounting or Finance preferred or equivalent work experience.
Years of Experience: Typically, two plus years of progressive experience in project administration or project accounting. Background in an architectural, consulting engineering, interior design, or professional services firm is preferred.
