This is an exciting time to work for Amarillo College! We are seeking our next Administrative Specialist III for BCIS who will be all-in on our mission and who will support the Department of Business and CIS in daily operations, focusing on creating systems to enhance program productivity and efficiency. Strong written and verbal communication skills are essential for effective collaboration with internal and external stakeholders. Proficiency in digital technology is required for performing daily administrative tasks.

EDUCATION

Required: Associate Degree

Preferred: Bachelor’s Degree

EXPERIENCE

Required: Two (2) years of secretarial or administrative experience.

Preferred: Three (3) years of secretarial or administrative experience.

JOB DUTIES amp; RESPONSIBILITIES
  • Manage departmental operations, including travel arrangements, supply procurement, and requisition completion.
  • Track and reconcile receipts for credit card statements and prepare credit card reports.
  • Maintain inventory and distribution of supplies for each program.
  • Ensure common areas (Lobby, Kitchen, Conference, and Copier room) are kept organized.
  • Enter budget orders and prepare monthly reports for the department.
  • Coordinate Continuing Education Courses and collaborate with faculty on textbook orders.
  • Generate and distribute college reports to Chair and Coordinators.
  • Handle phone calls, greet visitors, and manage inquiries.
  • Schedule appointments and manage calendars.
  • Maintain databases and filing systems, following college procedures.
  • Assist in preparing and distributing correspondence, reports, and presentations.
  • Handle incoming mail and materials, routing them appropriately.
  • Manage scheduling, event calendars, and reminders.
  • Coordinate conferences, meetings, or special events.
  • Assist part-time staff with computer usage as required.

Salary: Amarillo College - Salary Schedules (actx.edu), Pay grade 8 (salary is determined by Human Resources based on education, work experience and internal comparisons).

Physical Demands: While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies as needed.

Working Conditions: Must be willing to work a flexible schedule (days, nights, weekends, holidays, and varying events if necessary.)

Work Environment: This position operates in a professional office environment, routinely uses standard office equipment (i.e. computers, phones, copy and fax machines, filing cabinets) and is in a high traffic area with continual interruptions. Software commonly used includes Microsoft Office, Colleague, and various other educational applications. Work may also be performed outside of the office and with little to no supervision.
