Job Description

The Erie Western-PA Port Authority is actively recruiting for the role of Office Administrator. The Port Authority is looking for an experienced Office Administrator to support the organization in day-to-day functioning through general office support and administrative support.

Essential job duties and responsibilities:

  • Assists with overall office flow to ensure a smooth and organized office environment.
  • Acts as the first point of contact for anyone entering the Port Authority office.
  • Assists in the planning and coordination of all aspects of events throughout the Port Authority footprint.
  • Prepares all board meeting information for distribution to the Board Members including agendas, meeting minutes, and committee reports.
  • Responsible for directing, coordinating, and ensuring all Port Authority marina customers are contacted and open slips have been secured through maintaining waiting lists, tenant lists, and tenant files.
  • Responsible for overseeing the online campground reservation portal and serving as the primary contact for questions.
  • Ensures appropriate accounting procedures are followed for all customer payments.
  • Responsible for the overall operation of the office and related equipment.
  • Maintains database of customers, significant office materials, and equipment.
  • Creates and maintains documents and correspondence for Authority operations including minutes, bid specs, contracts, purchase orders, directories, annual reports and legal notices.
  • Ensure inquiries, direct requests, and concerns are channeled to the appropriate Staff Member.
  • Develops reports and analysis of the operations as requested by the Executive Director.
  • Coordinatesoffice activities and operations to secure efficiency and compliance to company policies.
  • Submits timely reports and prepare presentations/proposals as assigned.
  • Schedules travel arrangements for all Staff Members.
  • Maintains all office files.
  • Assists fellow Staff Members with other duties as assigned.

Requirements

  • Highly-organized team player who is positive and professional.
  • Bachelor’s Degree in Business is highly preferred; advanced education and/or experience or certifications desired.
  • Prior experience in creating and organizing agendas and compiling meeting minutes is preferred.
  • Strong computer skills including use of standard Office programs, maintaining databases, and navigating websites and amp; online media.
  • Must be a collaborative team player with the ability to partner with others internally and externally to advance the Port Authority.
  • Previous customer service experience.
  • Notary commission for the purpose of witnessing and attesting documents.
