Job Description

As the Operations Coordinator for our Cary clinic, you will assist the Clinical Director in managing the administrative functions that keep our services running smoothly! Make a difference in the lives of children and the staff who support them daily!

Operations Coordinator Responsibilities:

Scheduling:

  • Maintain accurate schedules for assigned locations
  • Work with the clinical team to ensure timely session conversion and signatures
  • Reconcile and audit staff schedules and client hours for accuracy
  • Reconcile and audit clinic schedule and provide feedback to the supervisor
  • If coverage is needed, assist or fill in for administrative support
  • Monitor, track, and communicate cancelation trends with the supervisor to improve treatment provision

Administrative Support:

  • Office Management:
  • Manage and organize office activities, including scheduling, correspondence, and data entry.
  • Coordinate meetings, prepare agendas, and ensure timely distribution of materials.
  • Greet and direct visitors
  • Facility Management:
  • Oversee the day-to-day operations of the facility, ensuring a safe and efficient working environment.
  • Maintain inventory of supplies and equipment, reorder as necessary, and liaise with vendors.
  • Communication Liaison:
  • Serve as a central point of contact for internal and external communications.
  • Collaborate with different departments to ensure effective information flow
  • Process Improvement:
  • Identify and implement operational improvements to enhance efficiency and productivity.
  • Collaborate with team members to streamline processes and reduce redundancies.

Requirements

  • HS Diploma required; Preferred: Bachelor's degree in a relevant field (e.g., psychology, social work, business administration).
  • Experience in operations coordination/administration and behavior analysis.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to work collaboratively in a multidisciplinary team.
