POSITION PURPOSE:

  • The Event Services Supervisor is responsible for coordination for managing the setup and breakdown of Sperry ceremony tents properly, set up and break down of included/rental items inside tent (chairs, tables, bars, ect.) and storing and maintaining new rental items per direction from the Events Manager. This person will also be responsible for the cleanliness and maintenance of all banquet equipment and function rooms, as well as their related areas. The Event Services Supervisor will assist in managing the event services staff.

RESPONSIBILITIES/DUTIES/FUNCTIONS/TASKS:

  • Personnel Management
    • Lead training sessions for job competence and ensure staff is aware of Inns of Aurora policies and procedures including service standards and guest service
    • Train, supervise and monitor safety procedures
    • Assist with weekly scheduling
    • Assist with hiring, including interviews and staffing decisions (2-3 members)
    • Ensure all employees adhere to code of conduct and company’s uniform standards
    • Coordinate opening and closing procedures
    • Ensure proper put up and take down training for staff
    • Coordinate with the Grounds Supervisor to have the ceremony tents put up and taken down
    • Adhere to all work rules, procedures, and policies established by the Inns of Aurora, including but not limited to those contained in the employee handbook
    • Maintain professional demeanor
    • Demonstrate the leadership qualities as outline in the Hospitality Partners Leadership Job Requirement Chart
  • Inventory Management
    • Receive and organize new item deliveries
    • Maintain an inventory list of all items, where they are stored, and if there are any damaged items
    • Monthly inventory
  • Daily/Weekly Responsibilities
  • Correctly and efficiently setting up and breaking down all function space according to the event order
  • Proper use of Event Temple and EWorks to manage amp; report on event needs on a weekly and monthly basis.
  • Transport equipment to and from offsite storage, as necessary
  • Safely handling and storing all banquet equipment
  • Pre-event set up amp; post event breakdown
  • Breaks down and stores furniture and equipment after events
  • Putting away beverage orders in proper storage locations
  • Assisting Banquet Servers as needed
  • Responding quickly to requests from supervisors or management in a timely, friendly, and efficient manner
  • Reporting needed repairs and/or unsafe conditions to supervisor and Facilities Team
  • Maintaining security of equipment, keys and supplies issued each day
  • Proper set up of AV needs amp; meeting spaces at desired property directed by the Events Manager
  • Performing other duties as assigned
  • Attend weekly meetings with Event Manager discussing rental orders for the week ahead

Requirements

QUALIFICATIONS:

  • Minimum of one year of banquets or convention services experience
  • Experience managing team members which includes scheduling and training/development.
  • Organizational and verbal communication skills
  • Ability to perform job functions with attention to detail, speed, and accuracy
  • Flexibility with hourly schedules, including weekend, holiday, and evening availabilities
  • Ability to stand, walk, bend, and move around during entire shift
  • Ability to exert up to 100 pounds of force occasionally, and/or 50 pounds of force frequently and/or 20 pounds of force constantly to lift, carry, push, pull or otherwise move objects
  • Must have the ability to read and comprehend simple instructions, short correspondence, and memos
  • Eye for detail and the ability to multi-task under fast-paced working conditions
  • Basic computer knowledge- being able to report maintenance issues, obtain BEO orders
  • NYS Driver’s License Class D

PREFERNCES:

  • Knowledge and understanding of workplace safety procedures
  • Maintenance knowledge
  • Experience with Event Temple amp; EWorks
  • CDL License
