Job Description

Nava is at the forefront of reimagining how our government serves its people, and we’re looking for an experienced Office and Remote Operations Associate to help drive this mission forward.
This role will have a major impact on team culture so your vision and contributions to the ideal working environment is critical. You'll work within the Finance and Business Operations organization, as part of the Office Operations team to execute on a variety of business operations responsibilities including managing day-to-day business operations tasks, remote events, remote employee support, and administration. You care deeply about improving efficiency and impact but always keep your mind open to new approaches to problem solving.
You'll be contributing to operations in both in-office locations as well as supporting remote employees by championing improvements to the office environment and culture and contributing to overall business operations as part of a bi-coastal team. You'll set high standards for operations efficiency and follow-through, and incorporate feedback and input from the wider team.What You'll Do
  • Apply a proactive and organized approach to office and business operations across physical office locations and the remote working environment
  • Support ongoing daily operations management including logistics, events, orders, supplies, inventory, security amp; IT
  • Organize and manage regular remote events
  • Help manage morale building initiatives including swag and significant life event gifts
  • Support office operations initiatives including opening of satellite coworking hubs for remote staff
  • Provide ‘help desk support’ regarding internal policies and procedures
  • Perform additional administrative and IT support duties as required
  • Collaborate with a bi-coastal team and contribute towards a consistent, efficient and culturally conscious business operations team and policies
  • Contribute to Nava’s financial health through accurate budget tracking, reporting, and reimbursing expenses
  • Manage and oversee business inventory and assets
  • Support employee onboarding and offboarding
  • Interview candidates as needed
What We're Looking For
  • Experience as an office or operations coordinator for at least a 100+ person company, with both in-office and remote employees
  • Experience working with distributed teams
  • Experience with coworking vendors and managing coworking arrangements
  • Experience managing office and company credit card budgets
  • Experience planning and executing company and/or team events
  • Experience with and comfort engaging in basic troubleshooting of organizational software, eg: helping users with use of G-suite, Slack, Zoom, etcHighly organized, resourceful, reliable, and detail-oriented
  • Ability to work independently and autonomously within a distributed team while soliciting feedback when necessary
  • Ability to think strategically around trade-offs and short term vs. long term benefits
  • Ability to build and form strong relationships with both the internal team and external vendors
  • An adaptive, empathetic, collaborative, curious, and positive mindset
  • A customer service mindset for engagement with the organization
  • Excellent written and verbal communication skills
Bonus Experience
  • Setting up satellite offices or coworking hubs
  • Experience moving midsize offices (80+), managing logistics, communications and administration
  • Experience supporting an all-company in person offsite
  • Experience working with a collaborative team to design and execute office layout and decor
  • Plan large scale community outreach/speaker/team events
  • Experience planning and executing industry networking, conferences, speaker panels, and/or recruiting events
  • Experience planning large internal events (200+)
  • Working with and managing distributed team members or contracted staff
  • Managing multiple office locations
