As the Accounts Receivable Specialist, you can make significant impacts on our company’s growth and success by helping support our daily invoicing and collection activities. This position will support the accounts receivable lifecycle including invoicing, contacting customers regarding collection matters, cash application, and posting entries into the accounting systems. Reports to the Accounting Manager.
Accounts Receivable + Sales Support
The Accounts Receivable Specialist is mainly responsible for customer collections and responding to customer inquiries. This position requires an individual to be customer service oriented, possess strong written and verbal communication skills and the ability to multi-task and adapt to a fast-growing corporate environment.Responsibilities:
  • Assist Sales and Sales Operations teams with prospective customer requests, on-boarding documentation and customer portal registration
  • Manage the collection process of all outstanding accounts receivables in the Americas and APAC
  • Review payment processor credit card transactions (Stripe) and follow up with customers regarding unpaid invoices utilizing the ZenDesk platform
  • Contact and follow-up with customers with past due invoices and work with Sales Reps or other teams to resolve payment issues, as needed
  • First point of contact for customers for billing-related questions, requests and disputes. Work with cross-functional teams to resolve customer issues and provide a good customer experience
  • Assist Sales team in obtaining customer PO’s in a timely manner and keep track of PO’s pending receipt
  • Assist Revenue Accountant with managing customer portals (Ariba, Coupa, etc), submitting invoices through online portals, emailing invoices and reconciling customer accounts
  • Post customer payments by recording checks, credit card and wire/ACH transactions in Intacct and deposit checks weekly or as needed
  • Maintain an accurate AR Aging Report and prepare quarterly reconciliations and analysis of accounts receivable and reserve for bad debt expenses as part of the quarter/year-end financial close and reporting process
  • Prepare weekly collections report and log correspondence and status notes for Sales and Management review
  • Prepare accounts receivable adjustments based on customer credits, write-offs, etc.
  • Provide quarterly cash collection forecasts for management review
  • Assist with process improvement projects and perform ad hoc analyses as needed
Preferred Qualifications:
  • Basic accounting knowledge
  • Minimum two years accounts receivable/collections experience
  • Intacct and SalesForce experience a plus
  • Procient with Excel
  • Excellent communication skills (written and verbal)
  • Organize and prioritize, maintain attention to detail and work under critical timeframes
  • Attention to detail and excellent customer service skills
  • Work independently and balance multiple tasks simultaneously.
