About the Role:

As the Admin amp; Accounting Assistant, you will report to the Accounting Manager and support the Finance and Accounting team with a variety of accounting functions. In addition, you will also coordinate travel arrangements for internal employees. This part-time non-exempt position is based out of Atlas Lift Tech Headquarters in San Ramon, CA.


Compensation: Hourly wage expected around $22/hour, depending on experience.

Requirements

Duties and Responsibilities:

  • Research and arrange business-travel logistics, such as air travel, rental cars, lodging options, etc. including processing the Credit Card Authorization Form or other documents as needed
  • Handle all timely communications with relevant parties to provide travel details
  • Serve as a liaison between Atlas and any third-party travel agencies
  • Review all reservations for accuracy, cost-effectiveness and policy compliance
  • Check-in newly purchased scrubs
  • Accurately record issues regarding incoming scrubs
  • Work closely with the Human Resources team to monitor incoming/outgoing scrubs
  • Reorder scrubs when inventory is running low
  • Review receipts and match to credit card expenses with extreme accuracy
  • Conduct audits to ensure that expenses paid are valid business-related expenses
  • Process invoices received (Including reviewing, verifying and researching) and set up for payment
  • Prepare and perform check runs
  • Reconcile accounts payable transactions
  • Monitor accounts to ensure payments are up to date
  • Produce monthly reports and assist with month end closing
  • Maintain accurate historical records and confidentiality of organizational information
  • Prepare annual 1099 documents
  • Assist with various office support needs
  • Assist with various projects, errands, etc.


Skills and Qualifications:

  • Bachelor's degree from a four-year college or university in accounting or a related field, or work experience that demonstrates the above skills
  • Outstanding interpersonal communication and strong written and verbal skills
  • Attention to detail and outstanding organization skills
  • Excellent problem-solving skills; exercise a creative, flexible, and collaborative approach to problem-solving
  • Experience coordinating and booking travel
  • Ability to juggle multiple tasks simultaneously with strong accuracy
  • Confidence; be bold and decisive but ask for help when needed
  • Team player and self-starter
  • Ability to work effectively as part of a diverse team in a fast-paced environment with multiple time-sensitive projects
  • Ability to be physically present at the designated work location during business hours
