Job Description

The Deputy Director, Administration/Operations (Deputy Director/AO) is responsible for overseeing the administrative operations that support the growth and financial health of the organization. Reporting to the Executive Director (ED), the Deputy Director/AO will manage the strategic direction of administrative activities, including finance, human resources, and information technology. She/He/They will be a seasoned operations leader with a track record of financial transparency and accuracy, and demonstrated experience building collaborative teams and an inclusive community. He/She/They will have experience driving vision to action by elevating the importance of details, reliable service delivery, and continuous organizational improvement.

Key Responsibilities

Provides Organizational Vision and Leadership

The Deputy Director A/O will lead Youth Collaboratory’s operations and day-to-day program management and strategically advance significant organizational goals and initiatives in support of the agency’s growth. The Deputy Director A/O will ensure the financial health of the organization; implement organizational and personnel policies; work closely and transparently with all external partners, including third-party vendors; represent the organization externally, as necessary, in contract negotiations; and keep a pulse of the health and effectiveness of the organization together with the Executive Director (ED). She/He/They will also play a leading role in managing and administering Youth Collaboratory’s risk-management strategy activities including, management of liability insurances and contingency plans for IT, HR, and finance processes. The position requires that the Deputy Director A/O to develop their own authentic relationships with clients and key partners to advance the goals of the organization.

Provides Financial Stewardship

The Deputy Director A/O will provide strategic management of?Youth Collaboratory’s financial,?budgeting,?and administrative processes with an eye to continuously developing and improving systems and ensuring financial and other agreed targets are met. Working closely with the Director of Finance (a direct report), she/he/they will provide oversight in multiple areas including compliance with?generally accepted?accounting standards?(GAAP), applicable governmental regulations and accreditation standards for non-profits, financial reporting requirements for external bodies (e.g., Federal government, grantors and banking partners), annual audit and 990 tax return, and annual?operating?budget process. She/He/They will also carry out a set of actionable financial responsibilities including, but not limited to, reviewing and approving invoices, signing checks.

The Deputy Director A/O will serve as a liaison to the board of directors and is responsible for presenting quarterly financial reporting materials that are prepared using appropriate and meaningful metrics to monitor Youth Collaboratory’s financial health.
