Job Description

Role: People amp; Culture Facilitator

Role Description:

Our People amp; Culture Facilitator will be responsible for the smooth running of Fenergo Offices in NAR and is expected to be dedicated to supporting the business and providing ‘exceptional customer experience’ to our staff. This role requires an individual who is highly organized and self-motivated. Change is a constant in this environment, therefore a flexible approach to work is necessary along with the ability to work on own initiative.

Now more than ever our focus is on our employees mental and physical health. A large part of the role at present is working with the team virtually and keeping them engaged in events, webinars, and fitness classes when at home and to play a large part in the physical organization of the office to maintain a safe working environment when staff are onsite.

Office management

  • For all three locations ensuring a positive and safe working environment for all
  • Reception duties including telephone answering, post, deliveries, supplier queries, etc.
  • Main point of contact for building queries, including repairs amp; renewals
  • Ensuring the office stationery supply is sufficient
  • Organize lunch for internal / external meetings
  • Arranging couriers for everyday items and new starter laptops in conjunction with IT, ensuring at all times that they are delivered on the agreed date
  • Management and sourcing of new suppliers to ensure we are receiving the best service possible
  • Space management including (presently) hot desk assignment to employees

HR

  • Support all internal and external HR related inquiries or requests
  • Maintain digital and electronic records of employees
  • Serve as point of contact with benefit vendors and administrators
  • Assist with the recruitment process by performing reference checks and creating employment contracts
  • Oversee the completion of new hire documentation
  • Provide clerical and administrative support to Human Resources Business Partner and members of Senior Leadership Team
  • Contacting references and performing background checks on applicants
  • General office administration duties
  • Ad hoc duties for HR, Recruitment and when necessary additional departments

Health amp; Safety

  • Be the COVID-19 Lead Worker Representative for all 3 sites ensuring that all COVID-19 policies and procedures are followed, maintained and updated on each site on a regular basis Training will be provided
  • Responsibility as fire warden and first aid representative Training will be provided.
  • Arranging training for additional first aid representatives and fire wardens for each site and maintaining records.
  • Ensure all Hamp;S and Security procedures are kept up to date through our Intranet

Employee Experience

  • Arranging Employee engagement activities for each location including scheduling of all EE events, setting up blogs, communicating via our Intranet and ensuring Outlook invites are distributed in advance
  • Organization of events both internal and external
  • Scheduling of induction for new starters including issuing of invites to speakers and attendees and updating when necessary
  • Preparation of new starter packs and ensuring that they are delivered on time

Finance

  • Manage reconciliations of office expenditure amp; complete purchase orders for various invoices

Requirements

  • Minimum 2-3 year’s administration, reception or office management experience
  • Excellent communication, grammar, and spelling skills
  • Ability to multi-task amp; prioritize
  • Excellent use of Microsoft Suites
  • Team player and ability to work on own initiative
  • Positive and helpful attitude, with strong customer service skills and excellent communication skill
  • Some travel will be required with this role
