Job Description

The Kapor Center is a family of three organizations: SMASH, Kapor Foundation, and Kapor Capital. Together, the Kapor Center aims to enhance diversity and inclusion in the technology and entrepreneurship ecosystem through increasing access to tech and STEM education programs, conducting research on access and opportunity in computing, investing in community organizations and gap-closing social ventures, building diverse and inclusive companies, and increasing access to capital among diverse entrepreneurs.

The Opportunity

Note: This is a full-time, temporary role through October 2021 and is fully benefitted.

Reporting to the Chief People Officer of the Kapor Center and working closely with the Kapor Center’s People team, the People Operations Generalist (for SMASH) acts as the primary point of contact for SMASH seasonal employees. The People Operations Generalist delivers a high level of customer service to all SMASH employees (including seasonal staff) and as a member of the People Operations Team assures the People Operations department runs smoothly and in compliance with federal and state laws. The People Operations Generalist also leads and oversees process improvements utilizing people operations technology and/or system changes as needed.

Principal Duties and Responsibilities:

1. Onboarding and Payroll

  • Assist with onboarding SMASH seasonal employees into the TriNet system: includes collecting minimum demographic information, data entry into system, communications with new hires to complete onboarding process, process I-9 employment verification forms and finalize and confirm setup of new hire
  • Monitor applicant tracking system to verify rate of pay and terms of offer letter
  • Process all background checks: includes initial submission and review of final report
  • Review invoices from background check vendor and process for payment
  • Assist with all new hire trainings and support initial new hire login into the TriNet system
  • Respond to inquiries from seasonal employees sent to
  • Assist with seasonal terminations as needed: includes collecting final hours, drafting termination letter for final review
  • Cross-train on Seasonal Employee payroll database in TriNet

2. Timesheet Training and Management

  • Plan timesheet trainings for supervisors and seasonal employees: includes becoming in-house expert on TriNet training module, creating slides for presentations and delivery of actual trainings
  • Support troubleshooting with timesheet system module
  • Plan program calendar for required or recommended timesheet training for staff

3. General Support

  • Assist with development of SMASH specific job descriptions
  • Keep track of status of all SMASH hires (across classifications), past and present
  • Maintain SMASH organization charts
  • Work with SMASH hiring managers, help to establish and schedule on-boarding schedule for regular full-time employees
  • Help administer SMASH performance management process; track staff progress in system, issue follow-ups as necessary
  • Other special projects assigned by the Chief People including serving on special committees and other initiatives

Requirements

  • BA/BS degree in related field required
  • A minimum of 2 years related experience required
  • Familiar with people operations technology including payroll and applicant tracking systems
  • Ability to work independently, manage multiple projects simultaneously, be flexible, detail oriented and able to prioritize
  • Exceptionally strong interpersonal skills, including the ability to consistently be diplomatic, tolerant, tactful and professional
  • Ability to work under pressure and meet short deadlines with a positive attitude
  • Deals with confidential information and/or issues using discretion and judgment
