Job Description

The Sampling Manager is responsible for leading and managing sampling members, ensuring sample is achieved in accordance with the client’s expectations and established company profit targets. The Sampling Manager is also responsible for working closely with project managers in order to create a sampling strategy for projects and adhere to longer-term compliance and departmental standards to ensure operational continuity. The Sampling Manager will also apply and support sampling members on the best custom recruitment methodologies to minimize panel attrition and fatigue and support the company's long-term goals of growing and maintaining the M3 panel.

Will also be responsible for updating processes and internal systems to ensure efficiency among the team.

The primary focus of the Sampling Manager is to lead one of the silos of sampling coordinators to deliver projects internally and achieve the team KPIs.


Essential Duties and Responsibilities:

In this role your duties will Include the following:

  • Manage and control of sampling for the projects allocated to the sampling team.
  • Train and manage the allocated sampling team members, delegate work, lead, train, motivate, develop and appraise staff:
    • Provide first line support for any queries.
    • Escalate any potential issues regarding staff.
    • Conduct reviews, provide development plan and monitor KPIs.
    • Oversee workload within the team.
    • Ensure smooth hand overs for any holiday coverage.
  • Monitor team members performance and provide regular reports on it.
  • Create and execute improvement plans for underperforming team members.
  • Ensure that sampling team members are well trained on sampling guidelines, custom recruitment methodologies, polices and procedures and that they are followed according to the given standards.
  • Lead and direct sampling team members on building a sampling and custom recruitment plan for the projects allocated and assist with project escalations and manage complex projects on your own.
  • Give directives, support and manage the sampling team members, helping them deliver a high-quality service to internal stakeholders.
  • Ensure projects are completed in line with timelines stipulated by the client.
  • Come up with alternative sampling strategies when internal panel sample is not sufficient to reach total sample sizes of projects.
  • Alert the Project Manager of a project when a sample strategy is failing or getting off track and work together to find alternative solutions.
  • Pro-actively seek alternative sample strategies and think about response rate on each project.
  • Take ownership of oversampled specialties and come up with strategies on how we can increase response rate and/or increase panelist counts.
  • Track monitor and report on sampling performance and the impact brought to the M3 GR panel service offering.
  • Have an excellent understanding of the M3 sampling, custom recruitment methodologies, emailing and reporting tools to ensure they are used to the best of their capabilities in supporting project deliverability.
  • Provide constructive feedback to the line manager and assist in bringing ideas on areas where M3 sampling, custom recruitment methodologies, emailing and reporting tools can be improved in their functionality and develop or update procedures when applies and communicate those changes to the team.
  • Ensure sampling team revenue, profit targets, outsourcing goals and client satisfaction are achieved.
  • Collaborate to find improvements and efficiency for working across teams.
  • Provide feasibility for custom panel recruiting options and assist sales in developing bids on hard to recruit projects.

Outcomes

  • Keep M3 outsourced project recruitment rate under the given KPIs per market.
  • Achieve monthly revenue and profit targets.
  • Sampling procedures maintained, monitored, and continuously updated.
  • Increase monthly panel registrations and reduce panel dropout from inactivity by continuing to engage current panel members and new respondents.

Experience, skills and qualifications

  • Proficient at Excel.
  • Fluent in English.
