Job Description

Position Title: Family Office Controller - Services

Reports to: Chief Operations Officer

POSITION SUMMARY (Key tasks and outcomes):

This role is client facing, exclusively working with the executive leadership at multiple family offices performing the role of controller and overseeing all aspects including

  • general ledger maintenance
  • oversee the payment of invoices
  • ensuring accounts are reconciled
  • create reporting packages
  • coordinate and provide information for tax providers, and assist with other financial activities
  • oversee accounting operations team

Primary Tasks/Activities:

  • Oversee accounting and financial activities for the family and the investment office.
  • Supervise accounting staff
  • Collaboration with tax professionals in the preparation of filings for partnerships, individuals, and trusts
  • Researching accounting issues that arise from investment transactions
  • Identifying areas for process improvements and automation
  • Collaborate with legal, money managers, real estate and senior management
  • Assist in the completion of subscription documents for new investments and account documents for new brokerage accounts
  • Manage consultant and broker relationships; liaise with investment and real estate funds to expedite the timely receipt of K1s
  • Interact and correspond with family members concerning personal expenditures, investment and cash flow needs
  • Process capital calls for investments and prepares distributions of funds received from investments
  • Review daily cash activity and coordinate investment of excess cash in bank accounts
  • Coordination with the external administrator on trade booking and reconciliation
  • Prepare monthly and annual reporting packages for leadership and family, including budgets, spending and investment performance.
  • Design, implement and monitor controls over accounting and household staff.
  • Prepare all compliance information required by banking institutions (W-9, KYC, CRS etc.)
  • Prepare eligible investor forms for New Investments (hedge funds and private equities) and all necessary annual compliance as required.
  • Coordinate with tax providers, providing data and communicating changes to investments and businesses.
  • Create and support budgets for family members and entities.

POSITION REQUIREMENTS

Skills and Qualifications

  • Proficient at working with a general ledger. Person must have at least 15 years of accounting and financial reporting experience and should be a CPA
  • Supervisory experience
  • Prior experience working for or with a family office, hedge fund, private equity fund, public accounting firm or administrator
  • Detailoriented, selfmotivated, proactive, discreet, and trustworthy
  • Strong work ethic, demonstrate the ability to work effectively as a team player and independently, and possess the flexibility necessary to engage in all functional and administrative aspects of an accounting role
  • Ability to work in an organized, efficient manner with a high-level of accuracy, attention to detail and follow-through
  • Self-starter, who will constantly look for better ways to operate and improve efficiency and effectiveness
  • Must have some experience interacting with hedge funds and complex investments
  • Experience with investment aggregation and reporting systems is a plus.
  • Good interpersonal and communication skills in both English and Spanish, for interacting with family members, office staff, family businesses, advisors, and vendors
  • Proficient with commonly used accounting applications (Quickbooks, Greatplains), Excel and other Microsoft applications

Education and Experience (Years and types) :

  • 15+ years overall experience
  • Must be CPA

Travel:

This position requires up to 25% travel. Some of the travel could be international.
