ABOUT THE ROLE
We are looking to hire an Administrative Assistant//Legal Assistant with exceptional administrative and document management skills. This role is expected to work comfortably under pressure with tight deadlines in a fast-paced environment.To ensure success, the Administrative Assistant/Legal Assistant should be detail oriented, exercise sound judgment and must have exceptional written and verbal communication skills with a keen interest in providing purposeful support to the attorneys and senior paralegals in the legal department. Top candidates will be familiar with key legal principles, will demonstrate accuracy in written and document production work, will have strong IT skills and excellent time management.YOUR RESPONSIBILITIES
  • Assist team with administrative functions: schedule meetings for attorneys and senior paralegals, produce intra-organizational and external communications, maintain team meeting scheduling and agendas, production of legal documents, and other administrative tasks as requested
  • Procurement and Vendor Contracting Tasks: assist procurement and vendor selection processes through assisting with the creation of agreements and other legal documents; and obtaining approval of and execution of agreements and other legal documents. Examples include: assisting with simple amendments, processing signatures using electronic signature programs, administering Non-disclosure Agreements using standard templates, assisting vendor and provider senior paralegals
  • Network Participation Agreement Tasks: support network team through assisting with the creation of agreements and other legal documents; and obtaining approval of and execution of agreements and other legal documents. Examples include: assisting with simple amendments, processing signatures using electronic signature programs, administering Non-disclosure Agreements using standard templates, assisting vendor and provider senior paralegals
  • Workflow Improvement and Document Retention Practices: develop and document systems and best practices to promote efficient workflow and to maintain effective document repositories for vendor and provider contracts, corporate and statutory filings, and other projects related to contracting
  • Accept service of process (SOP); work with SOP vendor; assist with responding to subpoenas and Requests for Information in 3rd party litigation
  • Recognize issues in day to day activities that require elevation to other team members
  • Notarial duties for corporate and licensure filing documents
  • General administrative and organizational duties for legal team
EDUCATION, TRAINING, AND PROFESSIONAL EXPERIENCE
  • Paralegal Certificate, Bachelor’s Degree, or in lieu of degree, 3 years of relevant work experience
  • Notary Commission and e-notary certification is a plus
PROFESSIONAL COMPETENCIES
  • Proficient in intermediate to advanced use of Microsoft Office required
  • Useful experience includes use of Quickbase, Excel, Slack, Adobe Sign, Adobe Pro, Docu-sign, Dropbox
  • Knowledge of databases and tracking systems, or an aptitude to learn such systems as may be used
  • Analytical thinker with focus on detail
  • Ability to grasp and interpret legal documents
  • Strong organizational skills and detail orientation
  • Ability to work under pressure and meet deadlines
  • Ability to work independently and as part of a team
  • Strong written and verbal communication skills
  • Sense of urgency and ownership of assigned tasks
  • Willingness to increase knowledge and skill within the department
  • Ability to interact comfortably with all levels of professional personnel
LICENSURES AND CERTIFICATIONS
  • None required; Paralegal Certificate or Bachelor’s Degree preferred
