Job Description

The American Jazz Museum in Kansas City is dedicated to celebrating and exhibiting the

experience of jazz as an original American art form through performance, education,

exhibitions, and research at one of the country’s jazz crossroads 18th amp; Vine.


The American Jazz Museum in Kansas City is looking for a dynamic, creative, and energetic professional to join our non-profit museum staff.

The PT Museum Accountant position is responsible for supporting the Director of Finance amp; Operations in his/her efforts to prepare monthly financial statements for AJM staff and Board and other areas as they arise, assisting staff members with accounting inquiries, and supporting research grants amp; contracts. Work includes report and account reconciliations, journal entries preparation, accounts payable and receivable review, grant budget review, grant invoicing, and grant-related paperwork. He/she may also work on various special projects to keep the Museum moving forward.

This is a part-time non-exempt position and is eligible for overtime. Typical workdays will be Mondays, Wednesdays, and a half-day during the rest of the week for an average of 20 hours per week.

DUTIES amp; RESPONSIBILITIES

  • Accounts Payable Function
  • o Processes and enters invoices and payments into financial software.

    o Responds to vendor inquiries and reconciles vendor statements, research, and correct discrepancies.

    o Maintains files and documentation in an organized digital manner, in accordance with company policy.

  • Accounts Receivable function
  • o Prepare and deposit checks and cash receipts timely and accurately.

    o Enter sales figures into financial software.

  • General Accounting function
  • o Assists with monthly and annual journal entries and reconciliations for the monthly close.

    o Assists in daily, monthly, and yearly reporting needs.

    o Maintains accounting controls by preparing and recommending policies and procedures while ensuring compliance with GAAP.

    o Collaborates with the Development department regarding database management and other special projects.

  • Human Resource Function
  • o Assist with the processing required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.

    o Proofreads and types documents and correspondence produced by HR department as needed.

    o Performs customer service functions by answering employee requests and questions.

    o Reconciles benefits statements.

    o Schedule meetings and interviews as requested by the Director of HR.

    o Makes photocopies; mails, scans, and emails documents; and performs other HR clerical functions.

    o Files documents into appropriate employee files.

    o Assist with HRIS database management

  • Administrative/Support Function
  • o Answer the phone, responds to requests, logs messages.

    o Sort and manage incoming and outgoing mail.

    o Order supplies as needed.

    o Assists as a backup for museum store cashier.

    o Contribute to department and organization special projects as assigned.


    Requirements


  • A Bachelor’s degree in Accounting preferred or equivalent working experience in accounting and Human Resources.
  • A minimum of two years’ professional experience in Accounting and Finance is required, ideally in museums or other non-profit organizations.
  • 1 year working with or in Human Resources Preferred
  • Proficiency with Microsoft Office products is required.
  • Experience with QuickBooks, Blackbaud Altru, Shopify, and Bill.com is a plus.
  • Experience with Paycor amp; other HRIS systems a plus
  • Excellent interpersonal and communications skills, including experience with and comfort in interacting with the public.
  • Must be highly detail-oriented with strong organization, time management, and project management skills, including the ability to juggle multiple projects and deadlines
  • Willingness to work non-traditional hours, think independently, and take initiative.
  • Extensive cash handling and customer service experience are preferred
