Job Description


The American Jazz Museum in Kansas City is dedicated to celebrating and exhibiting the

experience of jazz as an original American art form through performance, education,

exhibitions, and research at one of the country’s jazz crossroads 18th amp; Vine.


The Museum seeks an organized, energetic Part-Time External Affairs /Membership amp; Donor Relations Associate to assist in our development, donor, and membership programs for approximately 20 hours weekly. This position reports to the Director of External Affairs amp; Communications. It supports donor and member cultivation and stewardship activities, manages our Altru database, assists in other special campaigns, and participates in donor and member events. Some weekend and evening hours are required.

The Associate supports all aspects of the Museum’s donor and membership programs including prospect identification, cultivation, acquisition, and stewardship under the direction of the Director of External Affairs amp; Communications.

Primary responsibilities include:


  • Coordinates administrative duties related to the Museums membership program to include general membership appeals, renewals, event mailings, research, and maintenance of member records in Altru.
  • Answer and direct phone calls, providing excellent customer service across all AJM venues
  • Provide high level of service to foster strong relationship with potential and current donors or members, and other key stakeholders
  • Coordinates with onsite membership sales, by assisting at admissions desk as needed.
  • Manages data entry for the membership amp; donor programs
  • Maintain internal and external contact lists (ALTRU database maintenance)
  • Provide support for External Affairs department effort such as membership mailings, membership packets, assist with member events, data entry of memberships, answering all membership emails; and answering membership phone inquiries.
  • Manages all external donation request inquiries and tracks all inquiries in database.
  • Prepares correspondence and distributes donated materials.
  • Manage membership collateral inventory.
  • Assist the External Affairs amp; Communications team in the administrative functions for all of the museum’s membership events and activities.
  • Other duties as assigned.

  • Requirements

    • Must have graduated with a Bachelor’s degree or have at least 3 years commensurate professional experience
    • A minimum of two years’ professional experience in non-profit fundraising, marketing, or office administration, experience at a museum a plus
    • Proficiency with Microsoft Office products is required.
    • Experience with QuickBooks, Blackbaud Altru, Shopify, and Bill.com is a plus.
    • Excellent interpersonal and communications skills, including experience with and comfort in interacting with donors and other key stakeholders.
    • Must be highly detail-oriented with strong organization, time management, and project management skills, including the ability to juggle multiple projects and deadlines.
    • Willingness to work non-traditional hours as needed, think independently and take initiative.
