Position Overview:
Lend daily administrative support to Field Site staff.
Specific Skills Required for Position:
Computer literate; detail oriented; punctual and personable; able to complete tasks with minimal supervision, good communication skills, ability to learn new systems. Past experience in construction industry helpful, but not required.
Explain the function(s) to be performed by the requested staff member:
Answer phones; perform general office work; data entry; manipulate spreadsheets; greet visitors; maintain files and archive records.
Prepare consultant payments, create and maintain relevant spreadsheets. Serve as a liaison to consultants to resolve payment inquiries, issues and/or discrepancies.
Ensure that all supporting documentation to support payment request is received and reviewed before issuing/finalizing the payment.
Create and maintain all relevant consultant payment files. Support the Sr. Director, Sr. Design Managers, Program Managers and Project Design Managers in their daily tasks.
Qualifications and Skills:
HS Diploma and 8 years of administrative/clerical/secretarial experience. Must be detail-oriented, with excellent organizational and communication skills. Must be good with numbers, bookkeeping skills a plus. A self-starter with good follow-up skills. Must be able to work in a Team environment.
