Job Description

The Benefits Billing and LOA Specialist position takes care of our external and internal clients by assisting with carrier billing reconciliation and Leave of Absence duties related to the Benefit Department.

Benefits Billing and Premium Reconciliation

  • Lead point of contact in the team’s working relationship with stakeholders (Payroll, Finance, Carriers, Vendors).
  • Conduct root cause analysis on monthly audits to resolve billing inaccuracies, including processing adjustments and on-demand reconciliations.
  • Review calculations of monthly premium statements for all self-billed group insurance policies.
  • Maintain employee benefits systems and ensure all benefits elections and changes are entered or transferred appropriately in all internal systems including payroll for payroll deductions.
  • Coordinate carrier enrollment corrections with Benefit Specialists.
  • Coordinate transfer of data to external contacts for services, premiums, and plan administration.
  • Process premium adjustments in payroll system.
  • Coordinate with Finance department the timely processing of all insurance billings, i.e., generating reports, reconciliation of invoices and allocation of costs.
  • Create and generate benefit reports quarterly or more frequently as requested.
  • Conduct employee data auditing and reporting annually or more frequently as needed.
  • Use premium reconciliation system to identify discrepancies.

Leave of Absence Management

  • Administer all benefit LOA notifications in compliance with the Family and Medical Leave Act (FMLA), Federal and State laws, and client company policies.
  • Calculate and process benefit premium payments for employees on leave: Monitor timely receipt of checks and distribute letters for late premiums; monitor received payment application to the employee record. Review benefit arrears reports and set-up repayment deductions.
  • Terminate benefits and initiate COBRA when appropriate.
  • Advise eligible employees regarding disability claims process.
  • Process cases and update CRM tasks.

Requirements

  • Experience with benefit premium reconciliation
  • Prior PEO experience a plus
  • An outstanding communicator, both orally and written
  • Excellent customer service skills
  • Self-starter who works well independently
  • Ability to prioritize given tasks and work efficiently towards completing them; comfortable with routinely shifting demands.
  • Familiar with business software (Microsoft Office, payroll/benefit systems, etc.)
  • Familiar with common office equipment (printers, copier, fax, etc.)
  • Detail-oriented and exceptional organizational skills
  • Strong problem solver and analytical thinker
  • HIPAA compliant; ability to maintain strict adherence to a clean desk policy
  • Professional demeanor
  • Fluent in English and Bilingual in Spanish required
