Summary/Objective
The Executive Assistant will provide a wide range of support to the extended senior leadership team of SOC Telemed. This position will coordinate the activities with internal and external stakeholders, advise them on administrative issues, and provide operational and logistical assistance as well as coordinating and making extensive travel arrangements.
Essential Functions
Manage calendars on behalf of key executives, including gathering context, managing/prioritizing requests, and strategically managing long term calendar planning Prepare all details of travel itineraries (flights, car rentals, meetings, trip preparation packets, etc.) Communicates, as needed, with parties on behalf of key executives to help facilitate routine business matters Screens calls, incoming mail and responds promptly to incoming correspondence as appropriate and as requested Maintains an extensive filing system for correspondence, business matters, projects and programs and other related information Provide proactive support of meeting set up, including arriving at each meeting in advance and ensure all logistics are prepared (Zoom, materials up on screen and distributed as needed) Prepare agendas, compile research and data, and help with collateral creation for meetings Execute on special projects as designated by CEO and other senior executives Track and submit expense reports, invoices, and act as the intermediary between finance and executives Assist in arranging special events, functions, meetings, and lunches including the coordination of all logistics Support executive's day to day needs to facilitate time management such as picking up/ordering coffee and meals and other one-off requests Draft, manage, and proofread documents/correspondence as well as distribute communications as necessary Other duties as assignedRequirements
Minimum Required
Bachelor’s Degree 5 years’ experience in an administrative support function 1-2 years’ experience supporting executive team membersOther Required
Exceptional organizational, customer service, interpersonal communication skills with the flexibility to thrive in a fast paced, changing environment and the ability to actively participate Experience coordinating work across multiple teams and departments Strong interpersonal and negotiation skills Excellent verbal, written and presentation skills Detail oriented and ability to manage multiple priorities Proficient with MS Office tools (Word, Excel PowerPoint and Outlook) Able to travel domestically (lt;10%) including overnight stays Must be able to read, write, speak, fluently and comprehend the English languageBenefits
