Purpose of Role

The People Operations Coordinator is responsible for providing support across the People Ops team and to all U.S. employees. Responsibilities include supporting efforts around recruiting, onboarding, offboarding, employee relations, culture building, and personnel file management.

It is the People Operations team mission to deliver a first-class HR service to all PEI employees. This is an exciting and challenging role where the successful candidate will join the organization at a time of positive and impactful change. This position helps to play a role in impacting the employee lifecycle and will be a key person to positively influence and shape the employee experience.


Key Responsibilities

  • Maintain employee data and keep personnel files and HRIS files organized and updated
  • Assist with the recruitment process including scheduling interviews, collecting job descriptions, drafting internal communication about open roles, preparing offer letters, and maintaining referral bonus pay-outs
  • Execute key aspects of the onboarding process including leading orientation, scheduling check-ins, inputting new hires into HRIS system and communicating salary details to payroll administrator
  • Implement key aspects of the offboarding process including preparing exit packets and liaising with our professional employer organization for severance letters (when applicable)
  • Manage digitization process of all HR files with a goal of being a fully digital office by year’s end
  • Prepare promotion and merit increase letters and ensure HRIS systems are reflective of any team and/or employee job changes
  • Keep a pulse of culture and carry-out community initiatives that balance company’s goals, employee satisfaction, and diversity, equity, and inclusion strategies
  • Assist with ad-hoc People Operations projects and roll-out of initiatives
  • Liaise common inquiries between employees and professional employer organization
  • Work cross-functionally with multiple internal departments to manage ongoing projects, complete daily administrative tasks, and run reports
  • Develop trusting relationships with staff to better support their needs
  • Ideate and execute culture building initiatives and activities alongside Office Manager


Location amp; Hours

  • New York, New York (near Times Squares and major local trains)
  • Working hours are Monday Thursday 9:00a-5:30p and Friday 9:00a-5:00p
  • 1 hour lunch breaks
  • This position will largely be remote due to the COVID-19 pandemic but may require 1-2 days a week in-office for any training or as the company requires. Any onsite requirements will follow COVID-19 safety protocols. At present, no more than 10 employees are allowed in our offices at one time. Once restrictions are lifted in the area, the position may move to the local on-site office.

Requirements

Qualifications

  • 1-3 years of experience as a HR coordinator/assistant or relevant human resources/administrative position
  • Bachelor’s degree preferred, but not required
  • Proven experience utilizing an HRIS system
  • Must have ability to handle data with confidentiality
  • Strong ability in Microsoft Office Suite (with emphasis in Excel and PowerPoint)
  • Familiarity with DocuSign preferred, but not required
  • Strong detail-oriented skills required
  • Outstanding organizational and time management skills
  • Excellent communication and interpersonal skills
  • Exceptional follow-up and follow-through skills
  • Keeps abreast of latest HR trends and best practices
