Job Description

When you join PPGNY as an Administrative Coordinator you will provide administrative support to the Clinical Services Department including the Chief Medical Officer, members of the Medical Leadership Team, and their direct reports in clinical leadership.Additional responsibilities include:
  • Process required forms; financial documents including check requests and invoices; formatting presentations and manuscripts; conducting on-line searches of medical databases; coordinating business travel; copying and faxing; reserving space and setting it up for trainings and events; tracking of required staff trainings; coordinating and drafting communications; supporting grant applications and reporting; participating in interdepartmental committees as needed, and other administrative duties
  • Coordinates Medical Leadership Team meetings and other meetings run by members of the Medical Leadership Team. This includes scheduling, organizing, and soliciting agenda items for meetings; providing technical support for virtual meetings, and taking and circulating meeting minutes
  • Manages Medical Leadership Team shared documents including setting up and managing Teams and SharePoint sites
  • Provides administrative support when new clinical services leadership staff are onboarded
  • Provides administrative support to PPGNY clinical training programs. This includes communication with academic partners, PPGNY preceptors and trainees; coordinating training; meeting with and presenting to student groups; coordinating training rotations; invoicing check requests for training programs; administering exit surveys; and managing training databases
You have:
  • Minimum education: Bachelor’s degree
  • Minimum work experience: At least one year of related and/or applicable experience
