The Office Administrator will manage the office and handle support duties for upper management. With the ability to multi-task, while maintaining complex schedules and managing administrative support.
Assuring a steady completion of workload in a timely manner is key to success in this position.
- Manage workflow by assigning tasks to other administrative employees daily, ensuring that deadlines are met, and work is completed correctly
- Manage the Corporate calendar
- Assist in onboarding new staff members, interns and consultants
- Implement and monitor programs as directed by management, and see the programs through to completion
- Generate memos, emails and reports when appropriate
- Assume responsibility for maintenance of office equipment, including computers and printers
- Interface with building management company and personnel
- Maintain office supplies by checking inventory and ordering necessary items
- Respond to questions and requests for information via website email address
- Manage purchasing with purchase orders and invoice tracking
- Create purchase orders monthly to support S Texas and San Antonio Operations
- Vendor creation
- Obtain MSA
- Work with legal
- Store in repository
- Work with Legal on MSA’s and NDA’s
- Assist in AMEX management
- Payroll
- Timecards (punches)
- Expenses
- Taxes
- Data Room Library management and organization
- Fleet Program
- Manage vehicle registrations and stickers
- Go to the Tax office to obtain
- Field travel
- Weekly tracking of hourly employee’s overtime
- Manage shipping and receiving of packages
- Assist the Health, Safety, amp; Environment (HSE) department
Requirements
- Some college course work preferred
- Intermediate knowledge of Microsoft Office Suite, Google Suite, Outlook, and Dynamics 365 Business Central preferred
- Intermediate knowledge of multiline VOIP phone systems
- Intermediate knowledge of excel and google sheets
- One year or more administrative assisting experience
- One year or more experience in a busy office environment
- One year or more experience in the Oil and Gas industry preferred
- Valid work authorization in the United States
- Must be able to push, pull, and lift a 25lbs or more at a time required
- Must be able to sit, stand, and walk for 4 hours or more at a time
- Able to pass drug, alcohol, driving, physical, and background check
