Job Description

Jacob A. Riis Neighborhood Settlement seeks a full time Administrative Assistance to provide administrative support to the Associate Executive Director (AED). The Administrative Assistant duties includes general clerical, receptionist, project based work and other tasks as assigned by the AED.

Duties and Responsibilities:

  • Assist AED with general administrative responsibilities including data research, data entry, compiling reports, creating electronic materials and reviewing mail
  • Communicate with Riis Settlement worksites and staff on behalf of the AED.
  • Assist in designated meetings including note taking, preparing requested meeting materials such as reports, excel spreadsheets, etc.
  • Maintain office calendar to coordinate workflow and meetings.
  • Prepare correspondence draft, when requested
  • Maintain confidentiality in all aspects of participants, staff, and agency information.
  • Answer telephones and transfer to appropriate staff member
  • Perform general clerical duties to include, but not limited to copying, faxing, mailing, filing, and ordering supplies
  • File and retrieve organizational documents, records, and reports.
  • Create and modify documents such as invoices, reports, memos, and letters using word processing, spreadsheet, database
  • Collect and maintain inventory of office equipment and supplies.
  • Other duties and projects as assigned by the Associate Executive Director

Statement of Skills, Knowledge amp; Abilities:

  • Must be proficient in Microsoft Office: Word , Excel , PowerPoint etc.
  • Must be highly organized , detail oriented with excellent written and verbal communication skills
  • Must be able to multi-task
  • Knowledge of principles and practices in office management and general administration.
  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and facsimile machines.
  • Associate degree required
  • Spanish speaking a plus
  • Previous experience working in a professional office setting.
  • Strong communication skills; Administrative Assistant must be able to communicate clearly on the phone, be outgoing enough to contact strangers, and speak in front of groups.
  • Strong organizational skills and exceptional attention to detail
