Job Description

We are looking for a responsible Senior Executive Assistant to support our senior managers promptly and professionally. You will provide high-quality administrative and clerical assistance to top-level executives. To be successful in this role, you should be proactive, meet deadlines and communicate effectively. Our ideal candidate also has previous experience as an Executive Assistant and is familiar with office management technologies and methodologies. Ultimately, you should be able to identify and address the needs of senior managers and perform administrative tasks to ensure our company’s workflow runs smoothly.


These responsibilities which will vary depending on your experience, talent, and preferences, but will generally be some of the following: business process improvement, training, quality assurance, customer service, hiring, and/or daily production capacity. These are all pretty varied, right? You won't be responsible for them all but we want to find the right fit between people and responsibilities, so if you have experience in some but not all you should still apply!

This is very much an "If I don't know something, I'm going to Google it and figure this out" type of mentality you need to have. You should be the type of person who has a problem, tries to understand the issue behind that problem, researches and presents possible solutions, obtain approval if necessary, and then executes on solving the problem.

You'll be provided with training, support, and guidance but you should be the type of person who doesn't need to be told the same thing twice after you've figured it out. Someone will always be available to help answer questions and provide you the context you need.

Responsibilities
  • Act as the point of contact between upper management, employees, and customers
  • Create regular reports and update internal databases/workflows
  • Respond promptly to managers’ queries
  • Facilitate internal communication (e.g. company newsletters, updates, etc.)
  • Suggest more efficient ways to run the office and troubleshoot issues
  • Review and recommend changes to our company policies

Requirements

Essential Duties and Responsibilities:

  • Excellent written/verbal communication skills are required.
  • Provide assistance to various departments as needed - operations, training, development, etc.
  • Ability to troubleshoot problems in a variety of disciplines
  • Assisting the Customer Care department with billing-related escalations
  • Routinely reviewing staff metrics to identify problem areas and areas of opportunity

Preferred Qualities:

  • Enjoys communicating and has strong, professional writing skills.
  • Strong business acumen
  • Confident verbal communication skills
  • Experience communicating with team members and customers professionally.
  • Ability to work in a fast-paced, team-oriented environment.
  • Required Education: high school diploma or higher
  • Required Experience: at least 4 years of work experience
  • Positive, enthusiastic outlook about solving problems and improving the business.

Skills:

  • Proficient use of MS Office Products.
  • English speaking, writing, and reading comprehension; active listening; organization and attention to detail.
  • A problem-solving/solution-oriented nature using common sense
  • Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant or similar role
  • Solid experience with office management systems, ERPs and MS Office
  • Knowledge of office procedures
  • Familiarity with online calendars and cloud systems
  • Experience using office equipment, including printers and fax machines
  • Strong communication skills (via phone, email and in-person)
  • Excellent organizational skills with an ability to think proactively and prioritize work
