Job Description

Reporting into the HR Business Partner of North America and the Recruitment Business Partner, the HR amp; Payroll Coordinator will be responsible for the coordination of recruitment activity in North America as well assisting immigration and payroll. The rationale is to bring greater clarity, oversight, and consistency to our North American processes. In doing so we are aiming to improve the user experience from an employee and candidate point of view


  • Support the Recruitment process with scheduling interviews, partnering with recruitment agencies, managing the recruitment spreadsheet, creation of offer letters, coordinating background checks, and more
  • Craft offers of employment for new recruits, working with 3rd parties (e.g. local employment lawyers) and HR BPs/BU Heads as appropriate.
  • Maintain oversight of all recruitment activity, scaling involvement appropriately and minimizing the admin burden
  • Collect and report on Equality, Diversity, and Inclusion amp; recruitment metrics from inception to close of every search
  • Provide subject matter expertise in recruitment delivery across designated client groups
  • Responsible for processing immigration petitions in a timely, efficient, and effective manner with immigration attorneys while proactively troubleshooting issues that may arise.
  • Driving and remedying immigration issues when the process become delayed.
  • Manage the current Immigration spreadsheet to ensure New Visas are carefully tracked, Visas are extended within the proper timeframe
  • Manage visa acquisition processes where required as a result of successful candidate appointments, liaising with visa providers, employment lawyers and government immigration bodies as appropriate
  • Assist in preparation of North America payrolls (US amp; Canada), ensuring that employees are paid consistently and accurately by our outside payroll providers
  • Assist in US amp; Canada benefits administration: collecting new hire documents, tracking open enrollment changes and updating midyear changes as they arise
  • Providing general employee support in answering employee inquiries such as preparing employment verification letters, general policy questions, etc.
  • Assist with offboarding employees as necessary
  • Work collaboratively with other members of the People team, especially the early careers advisor, to cover resourcing needs at all levels of seniority

Requirements

• Relevant qualifications.

• 1+ years' experience working within an HR role (experience in an international environment would be an advantage).

• Resilient and flexible and able to work in a fast paced and dynamic demanding environment.

• Good attention to detail with excellent planning and organization skills.

• Able to deal with confidential information with both tact and diplomacy.

• Excellent communication skills, able to support a diverse client group across multiple offices

and time zones.
