Overview:

We are looking to fulfill our need for a Manufacturing Administrative Assistant for our Carlstadt, NJ facility. This person must have the ability to work independently as well as part of our team and ensure specific production processes and functions are running efficiently. This role will be responsible for entering and maintaining product data as well as assuring project accuracy and quality from conception to completion. The Manufacturing Administrative Assistant must possess exceptional organizational, problem-solving, and communication skills while being results-driven with a keen attention to detail.

Requirements

Responsibilities:

  • Production Assistant
  • Responsible for all follow up in regard to purchase orders, such as but not limited to:
    • PO tracking
    • Inventory coordination
  • Accountable for assisting with production reporting
  • Assist with inventory: data entry
  • Liaison to purchasing and accounting departments

Additional Responsibilities:

  • Accountable for updating and maintaining advanced Excel files with data input.
  • Accountable for releasing orders, packing lists and/or cut sheets to the factory and providing batch numbers for those released
  • Create labels for all batches, packing lists and storefront orders
  • Create all ship notes, packing lists, pick tickets for all deliveries or customer pick-ups
  • Print all ship notes, pick tickets and/or packing lists for pickups and/or deliveries and provide the shipping and loading departments with the appropriate documentation.
  • Email daily ship notes and/or packing lists to Accounting department
  • Establish and maintain daily driver logs
  • Enter small storefront orders into system (as required)
  • Maintain shipping and receiving logs and production report logs for all projects
  • Collaborate with Accounting department to confirm all COD amounts and collect payments from the customers
  • Answer calls from customers regarding their inquiries
  • Ensure proper paperwork is completed and filed for customer pick-ups
  • Contact customers with delivery information (as required)
  • Email daily ship notes and/or packing lists to Accounting department

Minimum Requirements:

  • Minimum of an Associate’s degree preferred
  • 1-3 years’ experience working in a manufacturing company preferred
  • Must have strong MS Excel skills (pivot tables, advanced formulas, link spreadsheets, etc.)
  • Prior data entry experience
  • Strong time management skills
  • Computer literate and working knowledge of MS Office
  • Fluency in English, both written and verbal, displaying strong written and oral communication
