We are looking for a responsible Administrative Assistant to perform various administrative and clerical tasks. Duties of the Administrative Assistant include assisting in daily office needs and managing our company’s general administrative activities
Job Description:
As an Office Administrator, you will manage various office functions including:
- Manage reception area, answer and direct phone calls after the appropriate screening, attend to visitors and clients
- Manage and maintain executives and manage schedules and appointments
- Conduct research, collect and analyze data to prepare reports and documents
- Organize and schedule meetings
- Take detailed meeting minutes, distribute the minutes and manage communication
- File and retrieve documents, records, reports, and reference materials
- Manage day to day operations including mail and correspondence, copying, printing, scanning, office supplies, food/snacks, travel arrangements, office events, etc., while evaluating new deals/suppliers
- Provide assistance in accounts, HR, and recruiting-related functions
- Facility/Property management tasks for the office building
- Coordinate project-based work
- Provide assistance to executives and managers in the above areas, as well as handling ad-hoc requests and queries
- Uphold a strict level of confidentiality
- Develop and sustain a level of professionalism among staff and clientele
There is an option for parttime also.
Requirements
Qualifications and Experience:
- 3+ years of proven experience as an Administrative Assistant with a Software Consulting company performing administrative/managerial functions
- Proficiency with Microsoft Office products including Outlook, Word, Excel and PowerPoint
- High degree of attention to details and accuracy, and problem-solving skills
- Excellent time management skills with ability to prioritize work
- Strong organizational skills with the ability to multi-task
- Excellent oral and written communication
- Resourceful with ability to take things to completion, with exceptional interpersonal skills
- The candidate should understand basic Information Technology and web terms
- Knowledge / Experience with QuickBooks is desirable
Education:
- Associate or Bachelor’s degree
