Job Description

The CEO is looking for a long-term, full-time, live-out Executive Personal Assistant (EPA) to begin no later than March 1, 2023, with a strong preference for candidates who can start immediately.

The principal has two companies and is a single parent in Malibu, CA. The EPA is responsible for assisting in administrative aspects of business and personal life. The work week will be Monday through Friday from 9 am-6 pm. The EPA will work out of a small office in the Malibu home and will be the liaison between the CEO and colleagues, nannies and other household staff, vendors, and other external parties.

Requirements

You must have a sincere service mentality. Long-term success in this role will depend on the candidate's ability to rapidly familiarize themselves with the CEO's preferences and expectations and, in turn, deliver next-level service. This role requires an emotionally intelligent communicator who leads with confidence, strategy, and an authentic passion for exceeding expectations. This busy, varied role will require a highly organized team player who excels in getting things done and displays excellent attention to detail.

The CEO has a preference for candidates with experience as a personal assistant for a HNW individual. A bachelor's degree is welcome but not required.


You must have a valid driver's license and a clean driving record.

The responsibilities include, but are not limited to, the following.

1. Home Management

The residence is a 5,280 sq. ft. home in Malibu. The CEO is a single parent and has a full-time, live-in nanny. As such, the primary responsibility will be to ensure that the home has everything needed by the CEO and the nanny for the care of the child and to ensure that general household needs are in place. The list of job duties includes:

  • Ensuring that all needs for the child are in place (clothing, food, etc.)
  • Ensure the home is cleaned properly by a housekeeper daily (general cleaning of the home, kitchen clean-up throughout the day, laundry, ironing, table setting, organizing closets, managing trash and recycling). The EPA will do follow-up light cleaning if needed.
  • Grocery shopping/ordering and keeping the pantry and refrigerator organized and running errands for the home.
  • Preference for candidates who can cook dinners 5x per week using pre-packaged meals by a delivery company
  • Coordinating with external vendors, such as a gardener, repair person, or others--as needed
  • Manage and track expenses and pay bills, credit card reconciliation, staff/vendor expenditure approval
  • Proactive care of property and cars

2. Liaison to businesses

The CEO has two businesses, one in India and one in the US. The EPA will be the primary liaison with an executive in India and an executive in the US. The EPA will determine what is needed from the CEO for these businesses on a daily basis and will execute these tasks under the direction of the CEO or independently. Given the time zone difference with India, some calls/zooms will need to be late evening or early morning.

In addition, the EPA will monitor the CEO's email and postal mail and respond or escalate to the CEO as needed. The EPA will also provide other executive assistant support and general administration, including assisting with providing accountants with corporate and tax compliance information for various entities.

It is important that EPA be tech-savvy and experienced with all standard Mac computers and software, including calendaring programs, google suite, MS Outlook, MS suite, and cloud-based file systems, as well as be a quick learner of new apps.

3. Management of Other Properties

An additional responsibility will be to manage three other properties (mainly bill payment and vendor management). This includes a home in Malibu adjacent to the principal's home and homes in New York and Florida.

Benefits

$50,000-$75,000 a year with health, dental, vision, and life insurance benefits as well as paid time off.

While there is a preference for local candidates, we will cover relocation costs for a stellar non-local candidate.
