Accounting Specialist Job Description

As the Accounting Specialist, you will contribute to a collaborative finance and accounting team that supports a fast-growing medical consultancy firm. Key duties include:

Accounting Roles:

Processing payments to vendors and independent contractors will require:

  • Review and manage Accounts Payable email box daily.
  • Review all invoices for appropriate documentation and approval prior to payment.
  • Code invoices and check requests with the proper general ledger account utilizing company coding sheets for proper coding classification.
  • Convert paper invoices to electronic PDF files.
  • Responsible for entering all vendor invoices for three companies.
  • Support weekly Cash Flow Analysis with current A/P balances.
  • Responsible for invoice documentation for weekly payments.
  • Responsible new vendor set-ups amp; maintenance.
  • Prioritize invoices according to discount and payment terms.
  • Audit and process credit card bills and payments.
  • Respond to all vendor inquiries and maintain vendor files.
  • Reconcile vendor statements, research and correct discrepancies.
  • Understand company travel and expense reimbursement policy.
  • Year-end 1099 Reporting
  • Update and prepare Property Tax Filing

Other responsibilities include:

  • Assist with G/L related and ad hoc projects.
  • Support and assist transition to new accounting system CostPoint.
  • Drive continuous improvement in system usage/capabilities with a special focus on increasing automation and improving reporting.
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy.
  • Respond and resolve employee questions and/or problems in a timely manner.
  • Assist in month-end closing (journal entries, bank reconciliation)

Contribute to VIGILINT mission by accomplishing other duties as required.

Requirements

  • United States citizenship
  • Preferred Bachelor Degree in Accounting / Associate's Degree in Accounting or an equivalent combination of education and experience.
  • 2-4 years of general business and accounting experience including processing of accounts payable and journal entries. Helpful to have experience of accounts receivable and payroll.
  • Advanced skills with MS Excel advanced skills with Microsoft Excel (pivot tables, functions, VLOOKUP, conditional formatting)
  • Proficiency in other Microsoft Office software such as Outlook, One Drive, Word
  • Strong problem-solving, organizational, research and resolution, data analysis and multi-tasking skills
  • Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
  • Ability to perform mathematical computations such as percentages, fractions, and calculate figures such as discounts, interest, and commissions.
  • Diplomatic interpersonal skills
Additional Qualifications:
  • Ability to obtain United States Government security clearance
  • Some college coursework towards a bachelor’s degree in accounting or other business-related field
  • Additional experience in general ledger accounting
